Carbon Calculator Guide

How to add your club's meetings and events, save your progress, and bring several people's entries together into one annual total for your Environmental Award submission.

Adding a meeting or event

Do this once for every recurring meeting type your club holds, plus each one-off event.

  1. 1

Fill in Club details at the top of the page — club name, region, reporting year, and Your name. Your name gets stamped on anything you add from here on, so entries can be told apart later if others are entering data too.

  2. 2

Click + Add meeting or event. Give it a name — e.g. "Weekly Club Meeting" or "Annual Golf Day" — and how many times a year it happens.

  3. 3

Fill in whatever you know for that entry: attendees, catering, travel, venue power, waste, accommodation. Leave anything that doesn't apply at 0 — nothing is compulsory.

  4. 4

The total at the top of the page updates as you go. To come back and adjust an entry later, either open its card directly, or find it in the By meeting / event table further down and double-click its row — that jumps straight to it and puts your cursor in the name field.

Don't have exact figuresA close estimate is fine. This is a volunteer-run planning tool for your Award submission, not an audited inventory.

Saving your progress

Nothing to click — the calculator remembers for you, on the device you're using.

Everything you enter is automatically remembered by the browser you're using. Close the tab, shut the computer down, come back next week on the same computer and browser — it's all still there, exactly as you left it.
The catchThis only works on that one device and browser. A different computer, a different browser, or clearing your browsing history starts from scratch. For anything that needs to move between devices or people, use Save entries file below.

Sharing the load

For when more than one person is adding meetings and events across the year, possibly on different computers.

  1. 1

Each person opens their own copy of the calculator, fills in their own Your name, and adds whatever meetings or events they're responsible for.

  2. 2

When they're ready to hand off their progress, they click Save entries file. This downloads a small working file — not the final report, just what's needed to pick up where they left off.

  3. 3

They send you that file however's easiest — email attachment, shared drive, USB stick.

  4. 4

Once you've collected everyone's files, open your own copy of the calculator and click Import entries…. You can select several files at once, so all of them go in together.

  5. 5

The calculator merges them into one club total and tells you what it did: brand new entries are added; the exact same entry appearing twice (say, a file you were sent by mistake a second time) is recognised and only counted once; and anything that merely looks like it might be a duplicate — same name, frequency and attendee count, but not actually the same entry — is flagged for you to check rather than merged automatically. Choose "keep both", "keep only the one already here", or "keep only the imported one" for each, then click Apply import.

Before you save a file to send onDelete or rename the example row ("Weekly Club Meeting — example, edit or delete me") if it's still there. Every calculator starts with the same example, so if two people leave it in, it'll show up as a possible duplicate when their files are combined.

Finishing up: producing your report

Once every meeting and event is in, use the two buttons under Annual footprint.

These are different from Save entries file. The CSV and Excel downloads are the finished, read-only report. The entries file is the only one you can bring back into the calculator later to keep adding to.
