District Conference Terms and Conditions

By purchasing a ticket you agree to receive information about the Event by email from the Event Organiser.

 

"Early Bird" bookings will close 11:59pm 31 December 2026.

 

Bookings for all events close at 5pm on 27 February 2027.

 

Due to venue catering and staffing arrangements we will generally not be able to accommodate requests for registering for optional ticketed events once bookings for those events have closed. Noting also that limited tickets are available for each of those events we encourage registrants to book ahead for events of interest so as not to miss out.

 

If you are no longer able to attend an event you have registered for, you may cancel your registration and apply for a refund as per the policy time frames below. To apply for a refund or arrange a registration transfer, please contact David Button via david.button@rotary9815.org.au.

Up to 28 days before - Refund available 100%.

Between 27 and 15 days before - 50% refund available.

Within 14 days before - No refund available from this date, or for non-attendance, however registrations can be transferred to a new person (see below).

While we understand that circumstances can change after registering for an event, these fees help to cover the administration required for cancellations, venue payment requirements and event costs already incurred.

 

 

Any delegates who are unable to attend an Event due to illness or death within 27 days before the 13th of March 2026, a refund will be at the discretion of the District Conference Chair and in consideration of any venue or event related costs already incurred.  Please contact either Conference Chair, Monique Smith via monique.Smith@rotary9815.org.au, or Wil Cornelissen via wil.Cornelissen@rotary9815.org.au

Unless stated otherwise, all 2027 District Conference events allow registrations to be transferred to a new attendee.  To transfer a registration, please contact David Button via david.button@rotary9815.org.au. Please note changes in dietary requirements may not be able to be met if transferring a booking within 14 days of the event.

 

The Conference Organisers accept no liability if an event is cancelled or postponed for reasons beyond their reasonable control resulting from an act of God, governmental regulation, fire, war, terrorist activity or civil commotion.

If the Conference Organisers elect to re-schedule the conference, all registrations and additional items are automatically rolled over to the new dates of the conference.  If the Conference Organisers elects to cancel the event, the liability is limited to a refund of registration costs. The Conference Committee will not refund any travel costs or accommodation costs associated with the cancellation of the event.

Unforeseen Circumstances / Force Majeure. 

If any act of terrorism, civil disturbance, industrial action, epidemic, natural disaster, or event beyond the Organiser’s control prevents us from carrying out our obligations we will not be liable for non-performance or refund.

 

Official Conference photos will be taken by our Conference photographers throughout the Conference and optional sessions. Photos will be taken of attendees and Guest Speakers. A link to these photos will be placed on the Conference website. The Conference Committee and District may use these photos for marketing and promotional purposes. By attending this event you accept that you may be pictured in photos which could be used for marketing and promotional purposes. I understand I must advise Conference Committee 2027 District 9815 in writing if I do not give permission for images of myself to be used.

 

 

No literature is to be distributed, no goods offered for sale, or fundraising by any means may occur at the Conference without prior approval from the Conference Chair.

 

Program Alterations. 

All best endeavours will be made to present the program as published on the conference website. The Conference Organisers reserve the right to alter, without prior notice, any of the arrangements, timetables, plans or other items relating to the conference for any cause beyond its reasonable control. The Conference Organisers are not liable for any loss or inconvenience caused because of such alteration.
